#illuminateByMeritto | Webinar Recap
An enrollment day is a relay. A lead arrives and someone has to call it. A call connects and someone has to record it. A record changes and someone has to route it, nurture it, and eventually guide it to enrollment. Every one of those handoffs is a place where a student can quietly slip: the call that was never retried, the outcome typed differently by two counselors, the lead that went to the wrong team with nobody able to say why.
At our latest #illuminateByMeritto webinar, we followed one counsellor, Priya, through that same day, with one difference: every handoff ran on one connected platform.
Before Priya logs in, Mio AI Voice calls her leads and marks every student it reaches Qualified or Not qualified. Advanced Allocation routes the qualified ones to the right counselors. On her own calls, Smart Capture opens in the call notification, so every outcome is recorded once, the same way. Automation handles the next steps within business hours, and the Automation Trail shows why each record went where it did. Collexo connects fee collection to the same journey. One platform, every handoff, fewer students lost in between.
That is the difference this quarter’s release makes. With Meritto, Mio AI and Collexo working as one, every handoff happens on a single student record instead of across separate tools, so fewer students fall through the gaps and more move on to enrollment. Here is what shipped, and what each update changes for your team.

What if your team started every day with students who want to talk?
The first handoff of the day is from the lead list to the phone. It is also the most expensive one, because unanswered calls often require repeated attempts, taking valuable time away from counselors. This quarter, Mio AI Voice takes that handoff before your team arrives.
More connections before the team logs in
In Priya’s day, Mio AI Voice starts calling at 9 AM, an hour before she logs in. When students don’t answer, Mio can automatically retry, either back-to-back or according to a configured schedule, within the institution’s calling hours.
Once connected, Mio engages prospects, qualifies their interest and records the outcome as Qualified or Not Qualified. This information flows into allocation and automation, helping the right conversations reach the right counselors.
By the time Priya opens her laptop, she can begin with a more focused list of students who have expressed interest, rather than spending her first hour making repeated call attempts.
One student, several programs, separate conversations
A student weighing an MBA, a PGDM and an executive program is not one lead with three interests. They are three decisions, each moving at its own pace. Mio AI Voice now works inside Opportunity Manager, so each opportunity gets its own call track and its own outcome. Teams can run targeted AI Voice campaigns for opportunity lists by course, program, college or location, or trigger calls automatically as opportunities are created or updated. The same applies in EdTech, where one learner might be exploring digital marketing, finance and UX design at once.
The result is intent you can manage program by program, instead of one blurred record that tries to speak for all of them.
From AI conversation to enrollment, on one card
The enhanced metric card in the Mio Dashboard follows Mio-assisted leads all the way through: how many went on to submit an application, and how many enrolled. It answers the question every admissions head eventually asks about AI calling. Not “how many calls did it make?” but “did it move students toward enrollment?”
The handoff to the right counsellor
Once Mio has qualified a lead, Advanced Allocation decides where it goes. The Mio call outcome feeds a single allocation node with prioritized rules, shift checks and daily caps, and Mio fields can now be used directly in automation. Qualified students reach their counselors without anyone’s queue tipping over.
What is already sitting in your pipeline?
Most enrollment effort goes into new enquiries. Yet some of the students most likely to enroll are already in your CRM: an applicant who stopped halfway through a form, a lead who went quiet in July, a student who might commit after one visit to campus. This quarter brings three new Mio AI agents built for exactly these students, and a smarter way to answer the questions they ask along the way.
Mio AI Application Acceleration Agent: finishing what was started
An incomplete application represents student interest your institution has already earned. The Application Acceleration Agent reaches these applicants, understands what is stopping them, whether that is a missing document, a fee question or simple hesitation, and guides them toward submission. When a human touch is needed, it schedules a counsellor callback.
The outcome is more incomplete applications moving to submission, without adding to anyone’s follow-up list.
Mio AI Campus Visit Agent: your next visitor may already be in your CRM
Some students are not ready to apply, but they would gladly walk through your campus. The Campus Visit Agent reaches active, dormant and unqualified leads at scale, builds interest in a visit and captures each student’s willingness and availability. For many families, a campus visit is the moment a shortlist becomes a decision, and this agent creates more of those moments from the pipeline you already have.
Mio AI Feedback Agent: the season ends, the learning continues
Not every student who engaged with you enrolled. After the cycle, the Feedback Agent uses Mio AI Voice to reconnect with them at scale to learn where they eventually enrolled, what shaped their decision and how they experienced your admission process.
This is the agent that reads like a post-season courtesy and behaves like a planning tool. The students who said no are often the clearest guide to what to change before the next intake.
Mio AI Guide: a specialist for every question
Students rarely save their questions for office hours. The Mio AI Platform chat agent now answers applicants on your website and Student Admission Portal, beyond regular counselling hours. Behind it, Mio AI Guide supports multiple specialist agents, for admissions, fees and scholarships, accommodation, placements, alumni and more, or any use case you define, each with its own knowledge base, instructions and behavior. Students choose the specialist that matches their question, and get one AI experience with far more relevant answers.
How fast can your team find who needs attention?
Before any conversation can happen, someone has to find the right student. It sounds trivial, until you count how many times a day a counsellor searches, filters and re-filters. This quarter makes finding faster at three levels: applications, leads and AI conversations.
Applications first
Advanced Filters in Application Manager now render saved views noticeably faster, with module bifurcation, multi-tag selection in text-type fields and a cleaner interface. The question “how many applications are stuck, and where?” becomes one fast filter and one list.
Then leads
On the call, a student shares a mobile number and half a name. That is enough now.
- Lead Manager listing revamp. Instant search by name, email, mobile number or ID, with hover actions on every row.
- Fewer clicks in Advanced Filters. “Equals” comes pre-selected, the module stays where you left it, and a new “Not Available” option finds every lead with a blank field, such as a missing specialization.
Then by what Mio heard
This is the quiet upgrade with the biggest reach. Mio AI filters in Lead Manager already let teams filter on what Mio captured in a conversation. Now every Mio AI Voice call is also logged as a Dynamic Activity, with call status, type, agent, start date, duration, disposition, recording, transcript and summary, and every one of those fields is filterable.
Start with this filter: Mio call status Connected, duration over two minutes, disposition Interested. That is your human follow-up list for the day, built from conversations Mio already had. And because offline activity can now be uploaded into Dynamic Activities too, the same filters also reach students your team met at last week’s school visit.
From student signals to the next best action
Finding the right student is one part of the job. Knowing what to do next is another.
Mio AI Coach brings intelligence directly into the lead profile, analysing student engagement and behaviour to surface an AI score, conversion readiness, potential risks, the best channel and time to connect, and the next best action.
Instead of piecing together information from multiple interactions, counsellors can approach every conversation with clearer context, prioritise the right opportunities and take more informed actions to move students closer to enrollment.
What happens in the minute after a call?
Picture the end of a good ten-minute call. The student is interested, wants a counselling session, and has promised to send their Class 12 marksheet. In the next minute, the counsellor needs to record the outcome, pick the right sub-disposition, set a follow-up and chase a document, while the next call is already ringing. This quarter turns that minute into a single, guided step.
Every call, connected to the right lead
With App Telephony on the Meritto mobile app, when a counsellor makes or receives a call with an unassigned lead, that lead can now be assigned to them automatically (opt-in). A student who rings back is no longer an orphan record. Every lead has an owner, and every follow-up has someone responsible for it.
OTP verification flows have also been reorganized. Verifying a lead’s mobile or email is set up in Lead Verification Settings, while applicant OTP at login or registration lives in the Applicant and Registration Verification Flow. Each OTP is configured exactly where you would look for it.
Smart Capture, straight from the call
Smart Capture now opens directly from the call notification, for incoming, outgoing and campaign calls. Counsellors can dispose of a lead or a single opportunity, and only the fields that apply to the chosen outcome appear. Choose “Interested”, and only the matching sub-dispositions show up.
Two additions turn the pop-up into a workspace:
- Tabs and sections. Group fields into Personal, Academic and Documents, and show, hide or require an entire section with one rule. Long forms start to feel short.
- Upload fields. Marksheets, ID proofs and certificates are collected inside Smart Capture during the conversation, not chased by email afterwards.
Six rules that check the data for you
Good data is usually lost in small ways: a percentage typed as 105, a follow-up accidentally set for next year. Six new Smart Capture rules catch these at the source.
| Rule | What it does | Example |
| Numeric Range Check | Validates a number within a range | Percentage must be between 0 and 100 |
| Date Range Check | Validates a date against a range | Next follow-up must fall within seven days |
| Compute Value | Fills a field from other inputs | Aggregate calculated from semester scores, no calculator needed |
| Numeric Value Check | Acts on specific numeric values | A high entrance exam score reveals the scholarship section |
| Conditional Error Message | Shows your own message when a condition is met | “Work experience is needed for the Executive MBA” |
| Restrict Dropdown Values | Shows only the options that apply | “Interested” shows only matching sub-dispositions |
The rules read like form settings and behave like a data policy. When every counsellor captures outcomes the same way, the reports your leadership reads can finally be compared line for line.
Documents verified on the go
Once documents arrive, they no longer have to wait for someone to get back to a desk. Counsellors and admissions staff can now preview applicant-uploaded documents, update their verification status and add remarks directly from their phone.
Can you trust what runs in the background?
While Priya focuses on her conversations, automation keeps the rest of the journey moving: brochures go out, new leads are routed, and follow-ups are scheduled. Journeys send brochures, rules route leads, and follow-ups fall due. The more an institution automates, the more one question matters: can we see what the system did, and why? This quarter answers that with transparency, accurate data and tighter control.
Automation that explains itself
It used to take half an afternoon to work out why a lead had gone to Team B. Now it takes one click.
- Automation Trail. See the complete journey of any lead or applicant: where they entered, the path they followed, which actions ran, where they stopped or failed, and why a condition sent them down a particular path.
- Automation Audit Logs, with View Details. See the exact before-and-after values behind every change to conditions, allocations, field updates and more, along with who made the change and when.
- Enhanced Automation. A cleaner, more capable builder that brings all of this together.
Automation that starts and acts at the right moment
- Entry conditions. Decide upfront who may enter a journey, such as only Verified Interested leads, or only opportunities from a specific program, source or location. Fewer branches inside the flow, and every journey starts with the right audience.
- Business Hour Wait node. Place it before time-sensitive actions such as lead allocation, user notifications, follow-up events or automated Mio AI calls, and they continue only during the business hours you define.
Communication reports that match reality
WhatsApp is one of the most effective channels in admissions, and three updates help institutions get more from it. Message statuses are now synced from Meta automatically, so a message that did not go through shows as Failed rather than Sent, and the delivered and failed counts in your Communication Report match Meta’s. If a WhatsApp Business number shows Offline after Embedded Signup, it can now be registered directly, bringing it online and ready to send. And when a rejected template is approved after an appeal with Meta, you can recheck its status in Meritto, which clearly flags anything that still needs attention.
Yesterday’s campus visit, in today’s nurture list
Some of the best conversations happen in person, at a school visit or an education fair. Until now, those notes often stayed in a spreadsheet. With Offline Upload in Dynamic Activities, that CSV goes straight into Meritto, mapped and validated, or updates activity data that already exists. Because system Dynamic Activities are filterable, every student marked Interested at the visit joins the next nurture journey. Offline conversations stop living in a spreadsheet on one laptop.
Student data that stays protected
- Password-protected exports. Lead Manager and Application Manager exports can be encrypted with a password (opt-in), so student data stays protected once it leaves the CRM.
- Idle Session Management. Administrators can set automatic logout for idle sessions, so a shared or unattended screen never stays signed in.
- Scorecard listing refresh. Visible actions, color-coded confirmations and guided CSV allocation.
Recurring fee collection, without repeated follow-ups
The journey from admission to fee realisation also needs simpler, more predictable operations.
With Collexo AutoDebit, institutions can set recurring fee schedules and collect authorised instalments through a one-time eNACH mandate. Payments are processed on scheduled dates, reducing repetitive collection follow-ups and giving finance teams greater visibility into recurring fee collections.
What all these updates add up to
Here is how a counsellor’s day changes with this quarter’s updates:
| Last quarter | This quarter |
| Dialling leads that never pick up | Mio hands over only qualified contacts |
| Rebuilding the same filters every day | Faster filtering across applications, leads and Mio call activities |
| Typing outcomes after every call | One pop-up, and the rules do the checking |
| “Why did this lead go to Team B?” | Every decision is on the trail |
Now multiply that by every counsellor on your team.
That is the real measure of a release. Not the number of features, but the number of handoffs that now happen cleanly, without a student slipping through. From the first Mio call at 9 AM to the feedback gathered after the season closes, this quarter makes each one faster, more accurate and easier to trust, so your team can spend its time where enrollments are actually won: in conversations with students.
So your teams can attract, engage and enroll students with greater ease at every stage.

Yes. Mio AI Voice now works inside Opportunity Manager, so each program a student is considering, such as an MBA, a PGDM and an executive program, gets its own call track and outcome, through targeted campaigns or calls triggered automatically as opportunities are created or updated. Intent is managed program by program rather than merged into one record.
Every Mio AI Voice call is now logged as a Dynamic Activity with its status, duration, disposition, recording, transcript and summary. Counsellors can filter by these fields, for example connected calls over two minutes with an Interested disposition, to build a follow-up list in seconds.
Smart Capture now offers six rules: Numeric Range Check, Date Range Check, Compute Value, Numeric Value Check, Conditional Error Message and Restrict Dropdown Values. They validate entries, calculate values automatically and show only relevant options, so data is accurate from the moment it is captured.
Open the Automation Trail on the record. It shows every step the record took through the journey, in order, with outcomes. View Automation Logic changes adds who changed the logic, when, and the old and new values.
Add a Business Hour Wait node to the automation, before time-sensitive actions such as lead allocation, user notifications, follow-up events or automated Mio AI calls. Those actions then continue only during the business hours you define. Entry conditions can also limit who enters the journey in the first place.
