#illuminateByMeritto | Webinar Recap
In peak seasons, the lead volume is relentless. Every enquiry deserves a quick first call, a follow-up that remembers the last conversation, and a nudge before the deadline slips. The intent is always there. What slows action down is everything in between: reviewing a lead’s history before dialling, following up on unanswered calls, updating the same fields after every conversation, and tracking fees that are still pending. Each piece lives in a different tool, so the effort of moving between them quietly becomes the job. This quarter’s release goes straight at that space in between. Every update below removes a manual step from the enrollment journey, and this is the record of what shipped and what each one changes for your team.

What gets your team to more, better conversations?
Three updates landed in Mio AI this quarter, and together they make AI outreach more informed, measurable and persistent.
Mio AI Coach: a counselling strategist inside every lead profile
Mio AI Coach is an AI sales and counselling strategist inside every lead profile, and it is now live in Meritto. It analyses every lead’s journey, so instead of reading through timelines or second-guessing intent, counsellors start every conversation with better context and a more consistent counselling approach.
Four things arrive with every lead:
- AI score and assessment
- Risks and stalled signals
- Channel intelligence
- Next best action
Your strongest counsellors already work this way instinctively. Mio AI Coach makes that same standard of preparation available on every lead, for everyone on the team, including the fiftieth lead of the day.

Outcomes Dashboard: from call volume to goal achievement
The Outcomes Dashboard is now live in Mio AI Voice, so teams can see the real impact of AI outreach in one place. Goal achievement, not dial count, becomes the number a head of admissions works from.
- Outcome-focused KPIs. Unique contacts attempted, connection rate, average attempts per contact, and goal achieved.
- Outcomes over time. How goal-achievement rates move across any date range you select.
- Call connection heatmap. The days and hours when your students actually pick up.
- Agent-wise performance. A comparison across every agent by goal type, including lead qualification and lead reactivation.
Start with the heatmap. It identifies the days and hours with the highest connection rates, which is the fastest way to point your calling effort at the window your students are actually available in.

Calling Retry: set your retry rule once, and Mio handles the follow-up dialling on its own
Busy lines and unanswered calls no longer require a counsellor to notice and redial manually. Set your retry rule once, and Mio handles the follow-up dialling on its own.
- Your rules, your rhythm. Choose immediate retries roughly fifteen minutes apart, or scheduled retries spaced across minutes, hours or days, even fixed to a specific time of day that matches your best connection window. Up to five attempts per lead.
- Consideration by design. The moment a lead answers on any attempt, every remaining retry cancels. If the student calls back on their own, the pending retry stops too. No one is ever double-dialled.
- Pay for talk-time only. Billing applies to actual talk-time, not to every attempt. Retries that never connect cost nothing.
- Fully visible, everywhere. It works across Lead Manager campaigns and Trail-based Automations, with total retries, connections and everything still scheduled visible in the AI Calling Report.
The result is that more missed calls turn into real conversations, with zero extra effort from your team.

Does every lead arrive with its full context?
The next gap is at intake. A lead that arrives without its source, campaign and history forces someone to reconstruct where it came from, or forces a marketing decision to be made on a guess. This quarter closes that gap on both paid and agent-led leads.
Full control over leads from Google and Facebook
- Google Lead Ads configurable field mapping. Map fields from your Google Lead Form to the right CRM fields, including predefined fields and custom questions. Set it once and it applies across forms automatically.
- Facebook Lead Ads granular attribution mapping. Know exactly which ad, campaign, form and platform, Facebook or Instagram, a lead came from, inside Meritto.
- Google Enhanced Conversions. Share identifiers such as email or mobile to improve conversion matching, alongside existing tracking like GCLID.
Sharper attribution for agent-led admissions
- Agent Codes for lead attribution. Each agent gets a unique Attribution Link tied to their Agent Code. A student who registers through it becomes a lead in Meritto automatically, attributed to that agent, carrying source, medium and campaign details.
- Attribution links for Standard Users. Standard Users can receive their own Attribution Code and personal link, with leads created automatically, tagged, and assigned directly to them.
- Hour-based attribution logic. Set Hold Existing Leads For, Mark a Lead Genuine Within, and Hold Application For independently in hours or days. Twenty-four hours now means exactly twenty-four hours from attribution, while days follow calendar-day logic.
That last one reads like a footnote and behaves like a trust feature. When an attribution window means exactly what it says, agent payouts settle on a record everyone can agree on.
What if the work around each conversation took care of itself?
Most of a counsellor’s day is not the conversation. It is the handling around it, the forms, the navigation, the small repeated clicks. This is the widest gap in the release, and the one your team will feel by the end of the first week.
Smart Capture: one form updates every module
Picture the ninety seconds after a strong ten-minute call. The student is interested in two courses, the opportunity stage has moved, and a follow-up is due. In most systems there are three or four separate forms, filled while the next call is ringing. Smart Capture is a unified, dynamic form framework powered by Meritto’s Rule Engine that collapses it into one.
- One form, multiple modules. A single form captures and updates data across leads, opportunities, dynamic activities and follow-up events.
- Context-aware by design. Fields show, hide, pre-fill or become mandatory based on what has been entered. Follow-up date appears only when the lead stage is set to Contact Later.
- Cleaner data, less clutter. Counsellors see only the fields relevant to the situation, which improves completeness precisely because it asks for less.
- Reusable and future-ready. Enable use cases like Lead Stage Change forms built to each institution’s need, QA audits, custom workflows, and more.
Form Eligibility: the right form, to the right applicant, every time
A postgraduate form is not for an undergraduate aspirant, and a domicile scholarship form is not for an out-of-state applicant. Form Eligibility in Form Desk ensures each applicant sees only the forms that apply to them. Set a mode, Show To or Hide From, using what applicants entered at registration such as programme, state or campus. Stack up to five conditions and choose whether all or any must match, show a custom message to anyone who does not qualify, and set a Continue Access override so applicants already mid-application are never locked out. Applicants see a short, relevant list, and your dashboards fill with submissions that are valid from the moment they arrive.
Lead Profile Customization: the profile arranged around your workflow
With Lead Profile Customization, each user decides what their lead profile looks like. Reorder the tabs so the timeline comes first if that is how you work. Pin the actions you use constantly, like changing a lead stage or scheduling a follow-up. Keep the lead stage or owner card expanded and collapse the rest. Faster to navigate, easier to act on, because everything is exactly where you left it.
Opportunity management: segment faster and keep ownership deliberate
- Quick Filters in Opportunity. Owner, stage, date and status now sit front and centre, so teams segment and act without building a filter from scratch.
- Reassignment in sync with leads. When you reassign a lead, you choose whether the linked opportunity moves with it or stays with the current owner, so ownership across the student journey stays a deliberate choice.
- Webhook trigger for opportunity updates. Whenever an opportunity is updated in Meritto, the change syncs instantly with connected systems, so your ERP, LMS or data warehouse stays current without a manual export.
Small changes, hours saved every week
- Last N and Next N days in date filters. A filter for leads added in the last seven days returns a fresh list every day, and you can track movement like leads changed to Hot in the last few days, without touching a date range again.
- Select All in Advanced Filters. Every multi-select dropdown now has Select All pinned to the top, even while scrolling a long list, so you can select or deselect thousands of values in one click.
- Lead Manager search personalisation and Re-Sync. Set a preferred default search field, see the last synchronisation time, and pull newly created or updated leads on demand.
Make application turnaround time easier to track
Application Process TAT measures the time an application takes to move from one stage to another in your admission process. See the exact gap between key stages, such as application submitted to documents verified, then compare performance across forms, benchmark your processes and identify clear opportunities to move faster.

What can now run on its own in the background?
The last gap is the one institutions notice last and feel most: the work that used to happen quietly in the background, at the cost of someone’s evening. This quarter hands a lot of it to the platform.
Allocation Quotas for Opportunities
Allocation Quotas distribute opportunities in line with team capacity. Just like lead allocation quotas, you can set limits on how many opportunities each counsellor receives based on their current pool. Quotas apply to automated assignments, so manual updates, API pushes and bulk imports are never blocked, and the result is workloads that stay balanced for faster follow-ups and better outcomes.
More power inside your automations
Opt WhatsApp Preference in Automation. Trigger and branch journeys based on a student’s Opt WhatsApp Preference.
Opportunity Score in Automation. Raise or lower scores based on student actions, engagement or inactivity.
Copy-paste automation nodes. Reuse action nodes, wait steps and IF/ELSE blocks with their configuration intact.
Activity-based IF/ELSE conditions. Branch a journey on email, SMS or WhatsApp activity.
Dropdown fields as field tokens. Use Master Data-backed dropdowns as dynamic values inside Field Update nodes.
Secondary email and mobile support. In any Email, SMS or WhatsApp node, send to a lead’s secondary email or mobile field, not only the primary one, with a per-node fallback toggle that falls back to the primary or skips the send when the secondary is empty.
AutoDebit: set the schedule once, and Collexo collects every installment
AutoDebit brings recurring fee collection to Collexo via eNACH. The student registers a mandate once, and every installment after that is debited automatically on the date you set. The institution configures the schedule once, the student completes a one-time digital mandate during checkout via net banking or debit card OTP that activates within one to two business days, and Collexo then executes each installment on the configured date with the receipt generated and sent. For any institution running monthly or term-wise fee plans, that is a recurring task the finance team gets back, and a smoother experience for families who no longer have to remember a date.

Report Configuration: one report format across every branch
Report Configuration brings a consistent column order to reports across all branches, accounts and entities. Define one sort order for fields and fee heads, apply it everywhere, and every downloaded report follows the same structure automatically, so a multi-branch team can compare accounts the moment the file opens.
Every update this quarter moves in the same direction: less manual effort, more context at every step, and systems that respond as soon as your students do.
What all these enhancements add up to
A feature list tells you what a platform built. The more useful measure is what it gives back: the hours the platform can now carry, so your team can spend them where they count, in real conversations with real students. That is the through-line of this release. It closes the gaps between the tools you already use, at every stage of the journey, from the first call to the final payment.
So your teams can attract, engage and enrol students with greater ease at every stage.

FAQs: What’s new at Meritto
Mio AI Coach is an AI sales and counselling strategist that sits inside every lead profile in Meritto CRM. It reads the lead’s full journey and returns an AI score and assessment, risks and stalled signals, channel intelligence, and a next best action, so a counsellor opens a conversation already prepared instead of scrolling a timeline.
Calling Retry automatically redials busy and unanswered numbers using a rule you set once. You choose immediate retries roughly fifteen minutes apart or scheduled retries spaced across minutes, hours or days, up to five attempts per lead. Every pending retry cancels the moment the student answers or calls back, and billing applies only to actual talk-time. Improve your call connectivity, and chances to convert more.
No. Smart Capture is a new form framework you adopt where it helps, not a forced migration. A single Smart Capture form can take the place of the three or four separate forms a counsellor fills after a call, capturing and updating Leads, Opportunities, Dynamic Activities and follow-up events together, and the same reusable logic supports Lead Stage Change forms, and custom workflows built to each institution’s need.
Use Form Eligibility in Form Desk. Set a form to Show To or Hide From applicants based on what they entered at registration, such as programme, state or campus. You can stack up to five conditions, choose whether all or any must match, and show a custom message to anyone who does not qualify. A Continue Access override keeps applicants already mid-application from being locked out.
AutoDebit runs on the trusted eNACH framework, the same rails banks use for recurring payments, so each installment is presented automatically on its scheduled date. Collexo updates the payment status in the dashboard after every attempt, so your finance team always has a clear, real-time view of what has been collected and what needs a quick follow-up, all from the same place they already work. The result is a predictable collection cycle with far less manual chasing between installments.
AutoDebit supports monthly, quarterly, half-yearly and annual billing cycles, with a limit of up to 10 lakhs per mandate. That covers most fee structures, from term-based school fees and monthly coaching fees to multi-installment programme and hostel fees at universities.
Every agent gets a unique Attribution Link tied to their Agent Code. When a student registers through it, the lead is created in Meritto automatically, attributed to that agent, and can carry source, medium and campaign details. Standard Users can also receive their own Attribution Code and personal link, with leads tagged and assigned directly to them.
